Meetings are now where your sensitive conversations happen
Board discussions, disciplinary meetings, clinical consultations and client negotiations all take place over video now, and many of them are recorded. That makes the meeting platform a system holding confidential material, which is a different thing from a convenience tool, and it deserves to be configured as one.

Everything was configured in a hurry, and never revisited
Most organizations deployed video conferencing at speed under real pressure, with settings chosen to remove friction because getting people working mattered more than anything else at that moment. That was the right call then.
What rarely happened afterwards is the review. The settings that made sense during an emergency are frequently still in place years later, now governing meetings that discuss employment matters, patient information and commercially sensitive negotiations.
A recorded meeting is discoverable, disclosable under data protection law, and exposed in a breach like any other file. Retention needs deciding rather than defaulting.

Five settings worth deciding deliberately
Admission control determines whether an uninvited participant can join, and a waiting room or passcode is the difference between a private meeting and a public one. Recording permissions decide who may create a lasting copy of a conversation, which is a governance question rather than a convenience one.
Where recordings are stored, how long they are kept, and whether personal meeting rooms are reused for sensitive discussions complete the set. None of these is technically difficult. They are simply rarely revisited once the platform is working.

A configuration review takes very little time and almost always finds at least one setting the organization would not have chosen deliberately.
Where Zoom is the right choice
Organizations meeting frequently with people outside their own tenant benefit most, because joining is reliable for external participants regardless of what platform they use. Reliability with guests is a genuine differentiator and it matters commercially when the guest is a client.
The question to ask first
If your Microsoft 365 licence already includes Teams and your meetings are largely internal, paying separately for a second meeting platform needs a specific justification. Running both is common and usually reflects an unmade decision rather than a considered one.
Ask where last month's recordings are
If nobody can answer, and nobody knows how long they will be kept, that is the finding worth acting on before anything else about the platform.
